Booking the Meeting Rooms

The Education Centre rooms are for the use of NHS staff and students and allied staff and are always very busy.  Exceptions are sometimes made, however, for voluntary organisations in support of the NHS.

  • All bookings for Rooms 1-3 are made by contacting library staff at Dunbarney House.   Our phone no. is (01343) 567624 or email gram.drgrayslibrary@nhs.scot.
  • At the time of taking the booking, you will need the following information:
    • Date and time required
    • Title of the meeting or training session
    • Name, telephone number, and email address for the person in charge of the booking
    • The number of people attending (If the meeting is for more than 15 people, you will need to book adjoining rooms)
  • If your meeting is to be held outside office hours you will need official ID (eg a photocard driving license) in order to collect a proximity card to get into the building.  Library staff will tell you how this is done at the time of booking.
  • Please ensure that you book sufficient time before and after the start and finish of your meeting to allow for setting up at the beginning and clearing away at the end.

Cancellations

There is an extremely high demand for meeting rooms at the Dr Gray's site.  It is essential that you let us know as soon as possible if you do not require a room, so that it can be made available to other staff.

Catering

There is a pantry with plenty of mugs, tea and coffee available.  You might want to bring extra milk for a large meeting, and your own biscuits.  Outside catering for sandwiches etc. can be arranged.  Please ask the library staff for details.
